POSITION SUMMARY: Assists management in a wide range of administrative assignments and related tasks to ensure operational and administrative continuity. Work is performed with considerable independent judgement based on the needs of the organization. Participates in organizational objectives that further enhance all corporate goals.

 

 

ESSENTIAL JOB FUNCTIONS:

  • Actively participates in the development, implementation and maintenance of corporate record retention
  • Maintains corporate electronic filing system and converts records to electronic format
  • Maintains and updates electronic records for insurance, licenses, registrations, warranties, fees, taxes and subsequent renewal calendar for the same
  • Prepares required documents for purchase and check requests
  • Handles routine administrative work by answering phones, greeting and receiving guests and providing customer assistance
  • Handles routine administrative accounting needs
  • Handles incoming mail and processes outgoing mail
  • Coordinates, organizes and manages travel arrangements for management staff
  • Maintains staff administrative records and reports
  • Handles check requests, incident reports and other related functions
  • Compiles information and creates reports as requested
  • Schedules appointments and meeting space
  • Responds to general questions and information requests from inside and outside organization
  • Composes and edits a variety of written correspondence that may require judgement related to content
  • Responsible for planning and coordinating meetings
  • Performs other duties as directed

 

 

REQUIREMENTS:

  • Associates Degree in related area a plus
  • 4 years related experience or an equivalent combination of related education and experience
  • Proficient in Microsoft Office applications, Word, Excel, Powerpoint and Outlook
  • Notary Public
  • Ability to communicate clearly and concisely both orally and in writing
  • Ability to work independently
  • Ability to exercise discretion and judgement
  • Outgoing and friendly demeanor
